Opero06 Procesy I Zadania

My tasks

Lista zadań to kolejka pracy z procesów: co czeka na decyzję, do kiedy i jak przejść z zadania wprost do sprawy.

Where tasks come from

When a matter stands at a stage assigned to the user, a task arises: specific work to be done. All such tasks gather on the task list, so you do not have to look for matters through lists or wait for someone to remind you.

A task leads straight to the matter. From the list you open the record, do what is needed, and perform the transition that moves the matter on. That closes the task.

Contents of the list

ColumnWhat it says
Taskwhat it concerns, usually by the name of the action to perform
Matterwhich record it concerns
Deadlineby when the task should be done, if a deadline was set
Stagewhat stage the matter is at

The deadline is a hint, not a block. After it passes, the task can still be done, but you can see that it is overdue.

Unassigned tasks

Some teams work with a pool: tasks are not assigned to a person in advance, but wait to be taken. Then on the unassigned task list you see a shared queue, and the first action is to assign the task to yourself. Only then do you do the matter.

This mode makes sense where several people handle the same stream of matters and do not want to step on each other's toes.

Example. The support department has a shared ticket pool. Whoever has a free moment takes a ticket from the top of the list, assigns it to themselves, and handles it, and the rest see that it is already taken.

Doing a task

You open the matter from the task, complete what is needed, and click the transition. If the transition asks for a comment, it means the comment is required, for example a justification for a rejection. If a transition will not perform, read the reason: usually a field is not filled in or a condition is not met.

A task assigned by mistake

If a task was assigned by mistake or you are absent, it can be handed over to another person, provided the process allows it. Substitutions for the duration of an absence are set up separately, and then tasks are redirected automatically.
